Submitting Electronic Files

High-resolution Adobe Acrobat PDF files are the fastest and most efficient way to process your order.PDF (Portable Document Format) allows the creation of a viewable file that contains all document fonts (typefaces used within the document) and graphics at a resolution that is acceptable for printing. Depending on the Operating System (Mac or PC) you are using and the program (Quark, Word, etc…) your file was created in, follow the detailed instructions in our knowledge base to prepare and submit your files. If you choose not to submit in PDF file format, you may incur additional costs.

File Submission Guidelines

Whether you choose to submit a PDF file or are sending us native files, here are some guidelines to follow in order to complete your work. Please note that files not set up to these standards may require additional Pre-Press work in order to print properly and may require an additional charge. Our staff is available to assist you in preparing your files properly so we can meet your time, quality and budget demands.

  • Hard copies: Samples of all documents are required for accurate printing. Depending on the number of printed pages, partial hard copy is acceptable (e.g. 10 out of 500 pages). Samples can be sent via an Ambit Creative Group driver, email or fax. If matching a specific color is required, please let us know which colors or photos are important.
  • File names: Please clearly indicate the file name that is required for printing. If there are multiple printing files, please provide a screen print listing the file names. If there are multiple jobs on the same disk, please create separate folders for each job.
  • Document size: Files should be set up to the final document size, e.g. Business Card files should be set to 3.5 x 2 inches. If the file bleeds then file must be submitted with appropriate bleeds and crop marks.
  • Color modes: When submitting a job that is in PDF format, full color files should be prepared as CMYK not RGB.
  • Non-PDF submissions: When submitting a job that is not in PDF format, all image files must be provided as either TIFF or EPS files. Full color files should be prepared as CMYK not RGB. Spot colors should be Pantone colors. All image files should have at least 300 dpi @ 100% for high quality print out. Large format files should have at least 100 dpi @ 100% for output.
  • Fonts: Fonts set within Adobe Illustrator, Quark XPress or CorelDraw should be converted to paths. Layered Photoshop and Illustrator files should be flattened and saved as TIFF or EPS files. Please note that revisions to files converted to paths or with flattened layers require additional time and work to edit so please proof your files carefully.

Office and Publisher to PDF

Creating PDF files from Microsoft Office and Microsoft Publisher. Please follow the instructions below to create a print ready PDF from your application. If you have any questions, please contact your system administrator or Ambit Creative Group.

Microsoft Office products such as Word, PowerPoint and Publisher have unique ways of handling graphics and fonts that are very different from traditional page layout programs like Quark XPress and Adobe InDesign.

Microsoft PowerPoint's transparency feature used to alter colors, images and graphics causes PDF and printing difficulties. The following will help you avoid this industry-known problem at file creation.

We suggest avoiding the transparency feature whenever possible. Instead, select a different color from the color palette to adjust colors.

If you have used the transparency feature, please submit the native PowerPoint file through our upload files page.

If you have Adobe Acrobat Professional, you can use Adobe Distiller to load the Ambit Creative Group PDF settings. You can then print to PDF by selecting the Ambit settings from the print dialogue screen. See "PDF Settings in Acrobat Distiller.")

QuarkXPress to PDF

Creating PDF files in QuarkXPress. Please follow the instructions below to create a print ready PDF from your application. If you have any questions, please contact your system administrator or Ambit Creative Group.

Creating PDF settings from QuarkXPress:

  1. Select File / Export and choose Layout as PDF…
  2. Click Options button
  3. Select New PDF Output Style and Name it AMBITprint
  4. From the tabs on the left adjust setting as follows:
    1. Pages: Uncheck all options
    2. Meta Data: Leave default
    3. Hyperlinks: Uncheck all options
    4. Compression:
      1. Color Images: Compression = None, Downsample = 300dpi
      2. Grayscale Images: Compression = None, Downsample = 300dpi
      3. Monochrome Images: Compression = None, Downsample = 300dpi
      4. Uncheck Compress Text and Line Art
    5. Color: Output Mode select Composite, setup select "As Is"
    6. Fonts: Select All
    7. Marks: Registration Marks Mode = Centered
    8. Bleed: Select Symmetric and amount to .5”
    9. Layers: Check Select All
    10. Transparency: Uncheck Upsample rotations
    11. OPI: deselect all check boxes
    12. JDF: deselect all check boxes
  5. Click Capture Settings

Exporting as PDF from QuarkXPress:

  1. Select File / Export and choose Layout as PDF…
  2. Select Ambit Creative Group from the PDF style drop down menu
  3. Navigate to the folder you want to save the file in
  4. Name the file, click Save
  5. Open your PDF and PROOF IT before sending it to Ambit Creative Group.
  6. Submit your file

PDF Settings in Acrobat Distiller

Loading the Ambit PDF setting into Adobe Acrobat Distiller.
We have created custom settings for creating "print ready PDF" files. This setting combines industry-wide best practices and the optimal settings for our output devices. We recommend using our settings, over the default, to capture your document into an accurately reproducible file. 

  1. Open Acrobat Distiller. Click the Settings Menu. In the drop-down menu, click "Add Adobe PDF Settings".
  2. Locate the file ("AMBITprint.joboptions"), click Open to select
  3. When you return to the Adobe Distiller window, Select AMBITprint from the Default Settings drop down menu.
  4. You are now ready to create a PDF from your .ps (Postscript) file.

PDF Settings in Adobe Programs

Loading the Ambit PDF setting into Adobe Pargrams. Download the Ambit Creative Group PDF settings. They allow you to save the PDF and include bleed and crop marks. By performing the following steps in InDesign, the PDF settings will install in all Adobe Desktop Publishing (DTP) software.

Follow these steps:

  1. Start up InDesign
  2. Goto, File -> Adobe PDF Presets -> Define
  3. Click, Load (search for the file " AMBITprint.joboptions"), click open
  4. Once you complete this. The option "AMBITprint" will appear under your preset options, and will be available to you when you Export a PDF.

Adobe InDesign to PDF

Creating PDF files from Adobe InDesign. Please follow the instructions below to create a print ready PDF from your application. If you have any questions, please contact your system administrator or Ambit Creative Group.

Exporting as PDF from Adobe InDesign CS or newer:

  1. Select File / PDF Export Preset and choose AMBITprint
  2. Navigate to the folder you want to save the file in
  3. Name the file, click Save
  4. In the PDF Export window, click Export
  5. Open your PDF and PROOF IT before sending it to Ambit Creative Group.
  6. Submit your file

Adobe Photoshop to PDF

Creating PDF files from Adobe Photoshop. Please follow the instructions below to create a print ready PDF from your application. If you have any questions, please contact your system administrator or Ambit Creative Group.

Saving a PDF from Adobe Photoshop CS or newer:

  1. Select File / Save As…
  2. In the Save As window under Format, choose Photoshop PDF
  3. Navigate to the folder you want to save the file in, and deselect any color profile that may be selected by default
  4. Name the file, click Save
  5. For the Adobe Preset option select AMBITprint
  6. Click Save PDF
  7. Open your PDF and PROOF IT before sending it to Ambit Creative Group.
  8. Submit your file

Illustrator to PDF

Creating PDF files from Adobe Illustrator. Please follow the instructions below to create a print ready PDF from your application. If you have any questions, please contact your system administrator or Ambit Creative Group.

Saving a PDF from Adobe Illustrator CS or newer:

  1. Select File / Save As…
  2. In the Save As window under Format, choose PDF
  3. Navigate to the folder you want to save the file in
  4. Name the file, click Save

Ambit Software Capabilities

Ambit Creative Group can accept files in the following programs in both Macintosh and Windows formats. Please note that some programs are better suited for laying out certain kinds of files than others. If you have created a file in a program that requires additional Pre-Press work (i.e. creating multiple, two-sided business cards in Microsoft Word) there will be additional production costs. If you have any questions or concerns about which program will work best for your job or if your program is not listed, do not hesitate to contact us.

Collect a QuarkXPress File

Collecting your document in QuarkXPress is an essential step to edit a document on another system. This process collects all links, graphics, fonts and the native layout file. Additional pre-press time may be required to re-locate or replace artwork or fonts that are missing from file. Supplying us with your native file, we have full control to adjust or edit your document, per your request or production requirement, to create the highest quality final output.

Preparing your QuarkXPress files for output

  1. Select File / Collect for Output…
  2. In the Collect for Output window Create a New Folder with your project name
  3. When you have named the folder, select Layout
    Check the boxes for Linked Pictures, Embedded Pictures, Printer Fonts and Screen Fonts
  4. Click Save
  5. Respond OK to the warning about Font Licenses
  6. Compress your folder using StuffIt (Mac) or WinZip (PC)
  7. Submit your file

Package an Adobe InDesign File

Packaging your document in Adobe InDesign is an essential step to edit a document on another system. This process collects all links, graphics, fonts and the native layout file. Additional pre-press time may be required to re-locate or replace artwork or fonts that are missing from file. Supplying us with your native file, we have full control to adjust or edit your document, per your request or production requirement, to create the highest quality final output.

InDesign: File/File to Package

  1. Save your file
  2. Select File / Package…
  3. Click Okay at the Printing Instructions window (it is not necessary to fill out any info)
  4. At the Save As: section of the Create Package Folder, name your folder the project name
  5. Check Copy Fonts, Linked Graphics and Update Graphic links in Package
  6. Click Save
  7. Compress your folder using StuffIt (Mac) or WinZip (PC)
  8. Submit your file

Package a Microsoft Publisher File

Microsoft Publisher: File/Save for Service Provider

  1. Save your file
  2. Select File / Package and Go… Take to a Commercial Printing Service
  3. Click Next and Browse to a location to create a Project Folder,
    then click next
  4. At the Include Fonts and Graphics window be sure all three boxes
    are checked and click next
  5. Click Finish
  6. Compress your folder using StuffIt (Mac) or WinZip (PC)
  7. Submit your file
